Vacancy description

This is an exciting opportunity to be part of the Private Office supporting the Chief Medical Officer on all aspects of public health including preparation for the Covid-19 Public Inquiry, day to day liaison with health protection, health improvement and well-being directorates and wider Welsh Government Senior Teams. The postholder will have discrete areas of responsibility such as contributing to the  preparation for the Inquiry, supporting  public health leadership and working with the other UKCMO private offices at the highest level. The postholder will report to an HEO. 

The Private Office is made up of a G7 who oversees the Private Office, a HEO working on the Covid Inquiry and a part time PA who provides direct support to the CMO. 

The role includes:

  • Working with the team, day to day management and prioritisation of the CMO’s emails, managing the majority of onward work distribution without recourse,.  supporting the monitoring the private office mailbox.
  • Day to day management of the CMO’s fast-moving diary to ensure proper use of time, and timely access to supporting meeting information, working closely with other members of the team.
  • Arrange internal and external meetings, commission and co-ordinate briefings in support of those meetings. Set agendas, prepare papers, take the minutes, and follow up actions at meetings as required.
  • Prepare the CMO’s electronic day folder comprising all papers for the following day.  In collaboration with the HEO, ensuring that the CMO, is provided with appropriate briefing.
  • Supporting the G7 with presentations for CMO conferences, CMO Annual report research, and ad hoc private office work when required.
  • Record keeping and use of i-Share in line with the Welsh Government’s record keeping policies, including RMSO responsibilities.
  • Quickly assimilate and maintain background and knowledge for the  Public Inquiry and have an awareness of political sensitivities.
  • Operate an efficient and effective bring forward system to ensure that deadlines for outgoing and incoming business are met.
  • Organise ad-hoc events, involving internal and external stakeholders. including booking venues and catering, drafting agendas, collating attendee lists, circulation of event papers, admin requirements on the day, follow up of action points.
  • Appropriate handling of confidential information in relation to staffing issues including recruitment, performance management, complaints, and disciplinary procedures.
  • Develop and maintain contacts with key external stakeholders including UKCMOs offices, NHS contacts.
  • Provide ad hoc administrative support across the Division to support the delivery of Ministerial and CMO priorities.
