Purpose of Post:

We are looking to fill 3 caseworker posts across the Welsh Tribunals Unit. The Welsh Tribunals Unit (WTU) is part of Welsh Government and provides the administrative support for six independent, judicially-led tribunals, which include: -

  • Mental Health Review Tribunal for Wales
  • Residential Property Tribunals for Wales
  • Welsh Language Tribunal
  • Education Tribunal Wales
  • Adjudication Panel Wales
  • Agricultural Land Tribunal Wales

The post-holders will be allocated to a primarily tribunal on appointment, however it is expected over time and development that the post holder is willing to flexible and work to support any of the tribunals within the remit of the Unit.

Key tasks:

  • Analysis of information – digest and work with complex information including Tribunal regulations and legislation.
  • Prepare tribunal case files - open case file, complete checklist, assign case number, input details on appeals information spreadsheet, send acknowledgement letter, and drafting registration letters within required timescales.
  • Organise tribunals – set up and coordinate individual tribunal hearings within statutory timescales including booking of judiciary, organising and setting up both remote and physical tribunal hearings, coordinating with all relevant parties to the tribunal whilst maintaining accurate up-to-date records of hearings and notify parties and panel members to required deadlines.
  • Reports – ensure that all relevant reports relevant to the hearing and collated and disseminated to all parties and panel members within required timescales
  • Information spreadsheets - ensure information and key performance indicator spreadsheets are updated after completing any action on a case.
  • Clerking hearings when required – greet parties and panel, responding appropriately to questions, deal with procedural issues which arise or refer to the tribunal panel and ensure the smooth running of the hearing.
  • Travel – travel may be required sporadically throughout Wales, including some overnight stays.
  • Tribunal Decisions – ensure that copies of all new decisions are sent to the relevant parties according to the required timescales.
  • Tribunal helpline - deal with telephone enquiries, ensuring that information given is accurate and complies with information security policies; refer complex queries to the Business Manager.
  • Records management – maintain accurate files, archive closed case files and hearing recordings (on CD), maintain electronic registers, identify recordings due for destruction and – when approved – destroy items scheduled for destruction.
  • Finance - certify members’ expenses claims, checking claim for accuracy and pass to business manager for approval.
  • Business support – assist with the preparation of KPI and customer satisfaction reports and provide any other support as required.
  • Information security - comply with WG security policies at all times and complete all related mandatory training.
