Purpose of Post:

The purpose of this role is to support all processes within the Branch ensuring that all payments and receipts are processed efficiently and promptly ensuring set targets are achieved. The role also provides full support to the Debt and Bank Reconciliation managers within the Branch.

Key tasks:

  • Entry of AP and AR documents on to the SAP finance system within 1 day of receipt.
  • Matching of AP invoices against Purchase Order receipts on the SAP finance system within 1 day of receipt.
  • Preparation of monthly bank reconciliations.
  • Preparation of files for direct debit collections and for payment journal uploads.
  • Timely processing of cash and cheque receipts and the allocation of these on to the SAP system.
  • Assist managers in the management of unallocated cash and blocked AP invoices.
  • Assist managers in dealing with Audit requests and responding to enquiries received in the MIS mailbox.
  • Provide support to managers on the Vendor and Customer Maintenance process.Timely processing of all homeless invoices ensuring that the query is raised with supplier and/or authorising division on the day that it is received.
  • Issue of invoices and dunning reminders to customers.
  • Issue cheques and remittance advice slips to vendors.
  • Management of all documentation received by fax and mail ensuring documentation is opened and distributed on the day that it is received.
  • Ensure that all financial documents are scanned, stored and filed in accordance with Welsh Government and Wales Audit Office requirements.
  • General office duties relating to all processes within the Finance Service Centre Branch.
  • Provide administrative support to the Debt Manager and Bank Reconciliation Manager as and when required.

Development opportunities:

The post offers the opportunity to gain knowledge and develop skills on the Welsh Government’s information technology systems operated within the shared service centre, while working within a diverse team who are responsible for processing all financial transactions for the Welsh Government.

Job specific criteria

Excellent team working skills with the ability to work closely with others to deliver the objectives for the Finance Service Centre.
Able to prioritise on a daily basis and to work under pressure at busy times with a high level of accuracy and aptitude for figure work ensuring that all daily and monthly targets across the job role are achieved.

Good IT skills and knowledge of using the SAP finance system. Experience of using the other main software packages operated by the Welsh Government including Outlook, Excel, CRM and Word.
