Purpose of Post:

This post will manage a team of 6 business support staff based in the Swansea office, in the South West Wales Area Team and reports directly to the Head of Operations.

The post holder will ensure the effective and efficient management of the business administrative function for the team. This involves managing sensitive, complex and confidential information within the wider team environment. 

The post holder will be part of the Business Support Managers network that is responsible for the administrative processes within the organisation.

The permanent office base will be in the Swansea office. However, travel to other office locations may also be required occasionally.

Key tasks:

  • Responsibility for the efficient and effective running of the business support function within the South West area, ensuring all aspects of the day to day leadership and management of the business support team. This includes supervising and managing workloads, absence management, performance management reviews and the development of staff.
  • To work closely with the Head of Operations in the execution of their duties and provide direct administrative support, including management of diaries, assisting with preparations for meetings and drafting and preparing correspondence.
  • To ensure the effective provision of assistance and support to Practice Managers in the completion of their duties including case allocation arrangements, complaints, liaison with Courts and other key stakeholders and other key tasks as identified by the Head of Operations.
  • To work as a team with other Business Support Managers to ensure the consistent quality and effectiveness of Cafcass Cymru’s administrative functions to support the delivery of front line services to children involved in family proceedings in Wales, including cover arrangements for other Business Support Managers as required and contributing to the business support manager network.
  • At a local level ensure and manage the effective, accurate and efficient management of the organisations electronic case management system (IRIS) and any other information management systems adopted by the organisation.
  • Responsibility for ensuring the area teams compliance with relevant policies and procedures, including information and records management and security and Health and Safety legislation.
  • Overseeing the engagement of all staff (including self) within the designated area’s business support teams, as well as stakeholders and service users, is free from discrimination and adheres to equality legislation and organisational requirements. 

Development opportunities:

This post offers substantial opportunities to play an important role in an all-Wales service, including liaison with a variety of agencies and organisations including solicitors and courts.  In doing so, the post holder will build and develop leadership and management, communication and delivery skills.
