Purpose of Post:

CIW’s purpose is to encourage the improvement of social care, early years and social services by regulating, inspecting, reviewing and by providing professional advice. CIW carries out its functions on behalf of Welsh Ministers. We sit within the Education and Public Services Directorate within the Welsh Government. There are a number of safeguards in place to ensure our operational independence.

Our three regions are the focus for professional assessment and judgement about services and organisations. They inspect and review local authority social services, and regulate and inspect social care and early years settings and agencies.

The purpose of the post is to provide support to the Regulation and Inspection Team (which is organised around the boundaries of groups of local authorities), carrying out a variety of administrative tasks and to assist the Inspection Support Manager in maintaining an overview of the inspection and review workload and programme within the geographical area. Specific division of duties will be at the discretion of the Business Support Manager to suit local conditions, but will typically include the following key tasks

Key tasks:

As directed by the Inspection Support Manager, to provide support to the delivery of the regions regulation, inspection and review functions;

To maintain and monitor the Regulation and Inspection Team’s programme of registrations, inspections and reviews, ensuring that reminders are generated for statutory inspections;

To co-ordinate all administrative aspects of an application for registration, including the issue, receipt and initial checking of applications, arranging for appropriate checks to be carried out, creating case files and recording details on the database;

To control all documentation related to a registration or inspection, ensuring the accurate input and maintenance of database records, paper files and certificates including the processing of DBS documentation;

To support the office in the production of inspection, review and registration reports, monitoring achievement of the statutory timetable for publication and maintaining control of the report production process including word processing, formatting and distribution of reports;

To provide general administrative support; including a reception service and first point of contact for visitors and callers to the office. Carrying out identity checks before verbally communicating with providers; handling, recording and distribution of incoming and outgoing mail; maintaining and issuing supplies of stationery; maintaining internal records as required;

To assist in logging concerns and notifications and providing support during enforcement action as directed by the Inspection Support Manager;

To arrange internal and external meetings as required, managing the use of on-site meeting rooms/interview rooms, booking off-site meeting rooms if necessary and arranging as appropriate for equipment, visitor parking, refreshments and distribution of papers. Provide administrative support for internal and external meetings; including minute taking;

To maintain the CIW database, through accurate and timely data inputting and scanning and attaching documents. Checking the accuracy of contact details before communicating with a provider. Informing the relevant team of problems arising from its use where they are unable to resolve.

Any other duties that may be required by the Inspection Support Manager.

Job specific criteria
